Privacy policy

Last updated

This policy explains how Avetria Tech Private Limited ("CreatorQube", "we", "us") handles personal data when you visit our website at creatorqube.com, contact us or book a demo, and when you or your organisation use the CreatorQube service at app.creatorqube.com.

As a company incorporated in India, we handle personal data in line with India's Digital Personal Data Protection Act, 2023 ("DPDP Act") and other applicable law. Where the data protection law of the place you live also applies to you, we will handle your data in line with it too.

Who we are

Avetria Tech Private Limited is a company incorporated in India, with its registered office at A/21, Jay Suryanagar Society, Nikol Kathwada, Nikol, Ahmedabad, Gujarat, India, 382350. For any privacy question, email hello@creatorqube.com.

Depending on the situation, we act in one of two roles:

  • As the party that decides why and how data is used (a "data fiduciary" under the DPDP Act, or "controller" / "organisation" under other laws) for data about website visitors, people who contact us, users' account details, and the creator data we make available in the service.
  • On behalf of our customers (a "data processor") for the content a customer's team adds to its workspace, such as notes, agreed rates, lists and campaign details. For that content, the customer decides what goes in and how it is used, and our handling of it is governed by our agreement with them.

Data we collect on the website

Demo and contact forms. When you request a demo or contact us, we collect the details you enter: your name, work email, company, company website, your role, whether you are an agency or brand team, your country, your team size, the platforms you run campaigns on, your message and, if you choose to give it, your WhatsApp number. We also record which page or campaign link brought you to the form (for example, the web address's campaign parameters), so we know how people find us. We use this to reply to you, arrange and run a demo, and keep a record of our conversation.

Server logs. Like most websites, our servers record technical information when pages are requested: IP address, browser and device type, the page requested, the referring page and the date and time. We use this to keep the website secure and working, and to investigate abuse.

Analytics. We use Google Analytics and Microsoft Clarity to understand how visitors use the website. They collect information such as the pages you view, how you arrived, your device and browser, an approximate location derived from your IP address and, for Clarity, how you scroll and click on a page. They use cookies; see our Cookie policy for the list and how to opt out.

We do not buy lists of contacts, and we do not sell personal data.

Data we process in the CreatorQube service

Account data. Your name, email address, a securely hashed password, your role (Owner, Admin or Member), your workspace and the brands you can access, and records of invitations.

Workspace content. Whatever your team adds: lists and statuses, notes, agreed rates, campaign settings, tracked terms, and the text of client reports. Your organisation controls this content.

Usage and security data. Sign-in times, session records, actions needed to run the service (for example, credit usage for searches and reports) and security logs.

Creator data. To help customers find and evaluate creators and track campaigns, the service shows information about social media creators that is publicly available, or derived from publicly available information. This can include a creator's public profile details, public posts, stories and videos that match a customer's campaign, performance figures such as likes, comments and views, and aggregated, estimated information about a creator's audience. Audience information is aggregated and does not identify individual followers. Some creator data comes from specialist data partners.

If you are a creator, see "Information for creators" below.

Why we use personal data

We use personal data to:

  • respond to enquiries, arrange demos and communicate with prospective customers;
  • provide, secure and support the service, including sign-in, invitations and access control;
  • show creator information and collect campaign content so customers can plan and report on campaigns;
  • meet our legal obligations and enforce our terms;
  • understand how the website is used, through analytics, and improve the website and service.

Legal bases. Under the DPDP Act, we rely on your consent (for example, when you submit a form) or on a legitimate use permitted by the Act. Where other data protection laws apply, we rely on consent where required, and on other bases those laws allow, such as performing a contract with you or your organisation, meeting legal obligations, or legitimate interests.

We will not use your personal data for marketing unless you have agreed to it, and you can opt out at any time.

Who we share data with

We share personal data only as needed:

  • Service providers who host our systems, deliver email, provide website analytics (Google Analytics and Microsoft Clarity) and supply creator data, under contracts that require them to protect the data and use it only for us.
  • Your organisation. If you use CreatorQube through your employer or agency, workspace Owners and Admins can see your account details and activity in that workspace.
  • People you share reports with. If a user shares a client report using "Anyone with the link", anyone who has that link can open it. Shared reports are not indexed by search engines.
  • Authorities, where the law requires it, or to protect our rights, users or the public.
  • A buyer or successor, if our business is reorganised or sold, under equivalent protections.

International transfers

We are based in India, and we and our service providers may process data in India and other countries. When personal data moves across borders, we take the steps the applicable law requires, such as contractual protections, and we will follow any transfer restrictions notified under the DPDP Act or other applicable law.

How long we keep data

We keep personal data only as long as we need it for the purposes above, or as the law requires. As a guide:

  • demo and contact requests: up to 24 months after our last contact, unless you become a customer;
  • server logs: up to 90 days, longer if needed to investigate a security incident;
  • account data and workspace content: for as long as the customer's account is active, then deleted or anonymised within a reasonable period after the account ends, except where we must keep records by law;
  • campaign content, including stored story images: for as long as the customer's workspace keeps the campaign.

How we protect data

We use technical and organisational safeguards appropriate to the data, including encryption in transit, hashed passwords, access controls by role and brand, and restricted staff access. No system is perfectly secure; if a personal data breach occurs, we will notify affected people and regulators as the law requires.

Your rights

Depending on where you are and which law applies, you may have the right to:

  • ask what personal data we hold about you and how we use it;
  • ask us to correct, complete or update it;
  • ask us to erase it, where we no longer need it or you withdraw consent;
  • withdraw consent at any time (this does not affect processing already done);
  • nominate someone to exercise your rights if you die or become incapacitated (DPDP Act);
  • ask for a copy of data you gave us in a usable format, where the law provides this;
  • complain to us, and then to the regulator.

To use any of these rights, email hello@creatorqube.com. We may need to confirm your identity. We will respond within the time the applicable law requires. If your data sits in a customer's workspace, we may refer your request to that customer and help them respond.

Information for creators

If you are a creator and your public profile or content appears in CreatorQube, you can:

  • ask what information we hold about you;
  • ask us to correct information that is wrong;
  • ask us to remove your profile from creator search, where the law gives you that right.

Email hello@creatorqube.com with your profile link and platform. Removing a profile from search does not delete content that a customer's campaign has already collected; we will tell the customer about your request where appropriate.

Children

The website and service are for businesses and are not directed at anyone under 18. We do not knowingly collect personal data from children. If you think we have, contact us and we will delete it.

Grievance Officer and complaints

Our Grievance Officer can be reached at hello@creatorqube.com and at our registered office. We aim to acknowledge complaints promptly and resolve them within the time the law requires.

If you are not satisfied with our response, you may complain to:

  • the Data Protection Board of India, under the DPDP Act; or
  • the data protection authority where you live, if its law applies to you.

Changes to this policy

We will update this policy when our practices or the law change. We will post the new version here with a new "last updated" date and, for significant changes, tell customers directly.
